Staff Management

Manage your delivery team and mechanics via Telegram and the web dashboard.

Adding Staff

  1. Get your invite link from the bot (/invite)
  2. Share with your team member
  3. They click the link and tap Start
  4. They enter their name and role
  5. You approve via Telegram

Via Dashboard

  1. Go to Staff in the sidebar
  2. Click + Add Staff
  3. Enter their Telegram ID and details
  4. They must message your bot to activate

Staff Roles

Role Capabilities
Delivery Receive booking alerts, claim deliveries, mark as delivered
Mechanic Receive maintenance alerts, mark bikes as serviced
Manager All notifications, can view all bookings
Custom Create your own roles with custom permissions

Creating Custom Roles

  1. Go to SettingsStaff Roles
  2. Click + Add Role
  3. Name the role
  4. Select permissions
  5. Save

How Deliveries Work

  1. New Booking → All delivery staff notified
  2. Staff Claims → Booking assigned to them
  3. Staff Delivers → Marks as delivered in Telegram
  4. Return Due → Staff notified day before
  5. Return Complete → Staff marks as returned

Managing Staff

Deactivate Staff

  1. Go to Staff in dashboard
  2. Click the staff member
  3. Toggle Active off
  4. They stop receiving notifications

Remove Staff

  1. Go to Staff
  2. Click Delete on the staff member
  3. Confirm removal

Or in Telegram: /remove @username

Co-Owners

Add additional owners who can:

  • Approve staff requests
  • Manage all settings
  • View all bookings

To add a co-owner:

  1. Go to SettingsTeam
  2. Click Invite Owner
  3. Share the invite link
  4. They complete onboarding via Telegram

Tips

  • Keep your team small and trusted
  • Deactivate staff when they're off
  • Review who's claiming deliveries
  • Use custom roles for special permissions
